Scan a room with your iPhone

A scan is the room as your iPhone saw it while you walked round: a video, the room in 3D, the walls, doors and furniture, and photos of the views you picked, each knowing exactly where you stood. It's how you bring a venue back to the workshop without a tape measure. The 3D needs an iPhone with LiDAR (a Pro model from the iPhone 12 Pro on); other iPhones keep the video and photos. Scanning is on iPhone for now; on Android you see the scans and can say which zone they're of.

Step by step

  1. 1

    Start a scan

In the Plana app, open the venue (More, then Venues) or one of its zones, and tap Scan under Scans. From a venue, pick which zone you're in, or add one. Find the walls, doors and furniture is on by default on a LiDAR iPhone: leave it on for a tidy outline of the room as well as the 3D. Tap Start scanning.

  2. 2

    Walk the room

Hold the phone up and walk slowly round, pointing at the walls, the floor and the ceiling. What's covered colours in over the camera: floor green, walls blue, ceiling pale, tables and counters amber, seats coral, doors violet, windows sky blue. The map in the corner shows the walls found, where you've walked and which way you're facing. Along the bottom: the floor found, the walls (or the surface covered), the photos taken and how big the scan is. A line at the top says what to do if it needs something: slow down, more light, closer to the wall. Pause stops the recording while you move a chair or open a door; Carry on picks up again.

  3. 3

    Save the views that matter

Tap the big white button to save a photo of what the phone sees, with exactly where you're standing and which way you're looking. Take one from wherever a customer will stand, or wherever you'd want to show the room from: the door, the stage, the bar. Tap Name it on the note that comes up to call it something, like From the stage. Each one shows as a small white camera in the 3D.

  4. 4

    Finish and send

Tap Done. The app builds the room and starts sending everything to Plana: the photos first, the video last. It carries on if you put the phone away, and a scan made with no signal goes up later by itself (open the venue in the app to send it now). The scan's page shows how much is left. Until it has all gone up, it stays on the phone; Throw this scan away asks first.

  5. 5

Look at it on the website

Open the venue, then the Scans tab, and pick the scan. Drag the 3D to look round it. The video plays beside it, and the room model and the 3D can be downloaded. Pick a photo and the 3D flies to exactly where it was taken. Rename the scan by clicking its name; Zone says which zone it's of. Remove asks first, and Undo on the note brings it back (it can be brought back for 30 days).

  6. 6

Line it up with the floor plan

The zone needs a floor plan (its outline, drawn on the Zones tab). On the scan, click Line up. Click a corner on the scan, from above on the left, then another corner far from the first. Then click the same two corners on the plan on the right. A click lands on the nearest corner when one is close. The scan is drawn over the plan in blue: if it sits right, Save. If the two corners are further apart on the plan than the scan measured, it says by how much, so you know the plan is out.

  7. 7

Make a photo one of the venue's cameras

Once the scan is lined up, pick a photo, give the camera a name and click Make a camera. It's added to the venue's 3D view, under Cameras, standing exactly where you stood and looking where you looked, so anyone can jump to that view and see a job's signs from there.

Good to know

  • Ten minutes of scanning is about a gigabyte. It counts towards your room for files, and goes up quickest on Wi-Fi.
  • Claude can list a venue's scans and make cameras from their photos: ask it to make the photo from the stage on last week's Ballroom scan a camera.
