Incoming Requests

When an email looks like new work, Plana doesn't open a job straight away. It gathers what the email says into a request and waits for you, because opening a job takes the next job number, and that number is kept forever.

The idea behind it

to invoiceEnquiryQuotingQuote sentIn progressJob completeinvoicedPaid
The life of a job. A job moves along its status, from the first ask to getting paid.

Good to know

  • A new email about the same thing joins the request that's already there, so one enquiry is one row however many emails it takes. Once you've dismissed a request, more replies in that email conversation stay in Dismissed, and replies on a request you've opened as a job go to the job.
  • If an email was filed under the wrong job, open it and click New job instead at the top. It reads the email into a new job and moves the email onto it. If the old job has nothing on it, Plana offers to archive it.
  • If an email conversation was filed on the wrong job and doesn't belong on any job, click Unlink from job at the top of it, or right-click it in the inbox and choose Unlink. Replies in that conversation are never filed back on that job.
  • While Plana reads an email you can close the window. A message tells you when the lines are ready, and Review brings the window back.
