Archiving or deleting a job

Archive is for a job you're done with: it comes off the working lists and keeps everything, so you can always look back at it. Delete is for a job that shouldn't be there at all, like a duplicate or a test: the job and everything on it goes, and waits in Deleted jobs for 30 days in case it was a mistake. Your customers, their people and your venues are never deleted with a job.

Step by step

  1. 1

    Archive a job

Open the job, click More at the top of its page, then Archive. Plana asks first. Tick Also archive its lines, files and linked files to put those away too; leave it unticked and they stay just as they are. Click Archive, and the job comes off the working lists. To archive lots at once, tick them on the Jobs page and choose Archive at the bottom of the screen.

  2. 2

    Bring an archived job back

On the Jobs page, click Filter and turn on Include archived jobs. Open the job, click More, then Restore from archive. Anything you archived with it comes back with it; a line you'd taken off before stays off.

  3. 3

    Delete a job

Owners and admins: open the job, click More, then Delete job. Plana tells you exactly what goes with it, like its 40 lines, 3 linked files, 12 files and 8 comments, and that the customer and venue stay. Click Delete job to go ahead. Its customer and installer links stop working, Plana stops reading the client's spreadsheet, and its files stop counting toward your plan. Emails stay in your inbox, no longer filed under it.

  4. 4

When a job can't be deleted

A job with an invoice that's been sent, or a payment, can't be deleted, because those are kept for the books. Nor can one with an order sent to a supplier: cancel the order first. Plana says why and offers Archive it instead, which keeps everything.

  5. 5

    Bring a deleted job back

Straight after deleting, Undo (or Ctrl+Z, ⌘Z on a Mac) puts it all back. Later, on the Jobs page, click Filter, then Deleted jobs. Each job there says who deleted it, when, and how many days are left. Click Bring back and the job is back just as it was, lines, files, comments and links included. After 30 days a deleted job is gone for good.

Good to know

  • Not sure? Archive. It keeps everything, and you can delete it later.
  • You can ask Claude or the assistant to delete a job too. It tells you what goes with it and asks before it does anything.
