Terms of service

The agreement for using Plana, in plain words.

Last updated 5 October 2026

These terms

These terms are an agreement between Plana Pty Ltd ("Plana", "we") and the business that uses Plana and the people it invites ("you"). By using Plana you agree to them. Our privacy policy explains how we handle personal information.

Your account

Keep your sign-in to yourself. A workspace's owners decide who belongs to it and what each person can see, and are responsible for what happens in it. Tell us at once if you think someone has got into your account.

Your content

Everything you put in Plana — jobs, customers, prices, email, files — stays yours. You give us permission to store, copy and process it only as needed to run Plana for you, including sending it to the service providers named in our privacy policy.

You are responsible for having the right to put that content in Plana, including your customers' and suppliers' details, and for connecting only mailboxes and accounts you are allowed to.

AI features

Plana uses AI to read email, suggest jobs and draft replies and quotes. AI can be wrong: check what it suggests before you rely on it. Plana does not send a customer email the AI wrote until a person approves it, and you are responsible for what you choose to send.

Acceptable use

  • Don't use Plana to break the law, send spam, or store content you have no right to.
  • Don't try to get into workspaces or data that aren't yours, or to disrupt Plana.
  • Don't copy or resell Plana itself.

Other services

Plana connects to services you choose, such as Microsoft 365, Google, Dropbox, Claude and ChatGPT. Their own terms apply to your use of them, and we are not responsible for them.

Fees

Fees are as shown on our pricing page or as agreed with you in writing, in Australian dollars plus GST. We will give you at least 30 days' notice before a price change affects you.

Availability and changes

We work to keep Plana running and your data safe, but we can't promise it will never be interrupted. We improve Plana all the time; if we remove something you rely on, we will tell you first.

Liability

Nothing in these terms takes away rights you have under the Australian Consumer Law. Otherwise, as far as the law allows, we are not liable for indirect or consequential loss, such as lost profits or lost data, and our total liability to you is limited to the fees you paid us in the 12 months before the claim.

Ending

You can stop using Plana at any time. We may suspend or close an account that breaks these terms, after telling you why where we can. When a workspace closes, ask us within 30 days for an export of its data; after that we delete it as our privacy policy says.

General

These terms are governed by the laws of New South Wales, Australia. If we change them in a way that matters, we will tell workspace owners before the change takes effect. Questions: privacy@plana.fyi.
