Your mail, and who can read it

Your email is yours. Nobody else in the business can read it in Plana, owners included, unless you let them. Mail to the team's shared address is for everyone.

Step by step

  1. 1

Your mail, someone else's, and the shared inbox

Click Inbox in the sidebar. The tabs at the top are Your mail, one tab for each person who lets you read their mail, like Cameron's mail, and Shared inbox for email to the team's address. Each tab has the same lists, filters and search. On the phone, tap the name at the top right of Inbox to switch.

  2. 2

    Let someone read your mail

Go to Settings, then Your mail. Under Who can read my mail, choose someone and click Let them read it. They see your email in their Inbox as its own tab, on its jobs and in search. Click Stop beside their name to take them off; Plana asks first.

  3. 3

    Reply from someone else's mailbox

Open an email on their tab and click Reply. Above the box it says which address it sends from: theirs, so it lands in the same conversation, signed with your name. Plana asks before it sends.

  4. 4

For owners: who reads whose mail

Go to Settings, then Email & inbox, and look under Who reads whose mail. It lists each mailbox and who can read it. You can let someone in or stop them there too; that person's own Your mail page shows who let them in.

Good to know

  • An email filed on a job stays with the mail: people on the job see the job, but only the mailbox's owner and the people they let in read the email itself.
  • An attachment filed on a job is one of the job's files, for whoever can see the job's files. One that isn't on a job yet stays with the mail.
