Your assistant

Everyone has their own assistant in Plana. It knows every job, item, customer and email, and it's one long conversation that carries on wherever you talk to it: in Plana, on Telegram or by text. It never sends email itself; it drafts it for you to send.

Step by step

    Open it from any page

    Click Assistant at the top of the page, or press Ctrl+J (⌘J on a Mac). It opens beside what you're looking at, so you can ask "where is this one up to?" about the job on screen. Assistant in the sidebar opens it full size.

  2. 2

    Ask, or tell it what to do

    Ask where a job is up to, what's due this week, or who hasn't replied. Tell it to add an item, move a job on or draft a reply. It does the work and tells you what changed. Anything going to a customer waits in Approvals for you.

    See jobs, items and files

    Ask it to show you something and it puts cards in the conversation: a job with its status and date, an item with its artwork, a photo or a file. Click a card to open it.

    Ask how Plana works

    Ask how to do anything, like sending artwork to a customer to approve. It walks you through the steps, shows you the guide and its video, and offers to do it for you.

    Talk to it from your phone

    Go to Settings, then Assistant, and press Connect Telegram. You can also text it from the mobile number on your profile. The answer comes back where you asked, and it's the same conversation as in Plana.

    Check-ins and reminders

    When an owner switches check-ins on for you (Organisation settings, then Assistant), it looks over your jobs once an hour in your working day and messages you only if something needs you. Tell it what's worth interrupting you for, or set your hours in Settings. Say "remind me at 3 to ring the venue" and it will.

  7. 7

    It remembers what you tell it

    Tell it how you like things done and it keeps that for next time. Settings, then Assistant, lists what it remembers about you, and you can remove anything there.

Good to know

  • A dot on the Assistant button means it has said something since you last looked.
